Terms governing your use of the website and member portal.

These Terms of Service (“Terms”) govern your use of the website and member portal operated by Lewis County Elks Lodge #2883 (“Lodge,” “we,” “us,” or “our”), a chartered subordinate lodge of the Benevolent and Protective Order of Elks of the USA, located at 416 Swiss Colony Road, Hohenwald, TN 38462. By accessing or using this site, registering for an account, providing your mobile number, or making a payment, you agree to be bound by these Terms. If you do not agree, do not use the site.

1. Eligibility

The member portal is available exclusively to current, dues-paid members of Lewis County Elks Lodge #2883 in good standing. The public-facing website may be accessed by anyone. You must be at least 18 years old to create an account, provide a mobile number, or submit a payment.

2. Member Accounts

  • You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
  • You must provide accurate and current information during registration. Member registration requires a valid Lodge member number.
  • Notify us immediately at info@elks2883.com if you suspect unauthorized access to your account.
  • We reserve the right to suspend or terminate accounts that violate these Terms or the Lodge’s bylaws and code of conduct.

3. SMS / MMS Communications Consent

By providing your mobile telephone number to the Lodge — through the membership registration form, your dashboard profile, an event sign-up, or by texting one of our keywords — you expressly consent to receive recurring autodialed and automated text and multimedia messages from Lewis County Elks Lodge #2883 at the number provided. Consent is not a condition of joining the Lodge or purchasing any product or service.

  • Message types: account verification, password resets, payment confirmations, dues reminders, event registrations and reminders, meeting notices, kitchen specials, newsletter alerts, and emergency or weather-related notifications.
  • Frequency: approximately 2–8 messages per month for typical members; more for officers and active event attendees. Frequency varies.
  • Cost: standard message and data rates from your wireless carrier may apply. The Lodge does not charge for any text we send.
  • Opt-out: reply STOP to any Lodge text at any time to unsubscribe. You will receive a one-time confirmation. To resume, reply START.
  • Help: reply HELP for assistance, or contact info@elks2883.com / (931) 295-0404.
  • Carriers (AT&T, Verizon, T-Mobile, Sprint, and others) are not liable for delayed or undelivered messages.
  • Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. See our Privacy Policy for the full list of service providers we use to deliver messages.

4. Email and Phone Communications

  • Email: By providing your email address, you consent to receive newsletters, event announcements, dues notices, payment receipts, donation acknowledgements, and other administrative emails. Marketing emails include an unsubscribe link.
  • Phone calls: The Lodge or its officers may call you for important Lodge business including elections, dues collection, and emergencies.
  • Opting out of certain communications (dues reminders, security alerts) may affect your ability to fully participate in Lodge activities or maintain your account.

5. Member-to-Member Messaging

The member dashboard includes a feature that allows members to contact one another. All use of this feature must comply with these Terms and the Lodge’s code of conduct. Specifically, you may not use member messaging to:

  • Harass, threaten, or intimidate any member.
  • Solicit for commercial purposes without prior Lodge approval.
  • Distribute spam, chain messages, or unsolicited bulk communications.
  • Share another member’s contact information beyond the platform without their explicit consent.

Contact information (phone, email) is only visible to other members when you have opted into share it through your dashboard settings. You may withdraw that consent at any time.

6. Payments, Donations, and Dues

All payments processed through this site are handled by Stripe, Inc., a Level 1 PCI-DSS certified payment processor. Card details are entered into Stripe’s secure forms and are not stored on Lodge servers.

6.1 What we sell

  • Event tickets for Lodge-sponsored events (dinners, parties, fundraisers, etc.). Pricing and capacity are stated on each event listing.
  • Donations to designated Lodge funds (e.g., Veterans, Youth Scholarship, Charitable Foundation). Donations are voluntary; suggested amounts are shown but you may give any amount.
  • Annual membership dues for current members of the Lodge. See Section 6.5 below.

6.2 Fulfillment

On successful payment you will receive an email receipt within minutes. Event tickets are delivered electronically — your registration is recorded under your account and confirmed by email. There are no physical tickets; admission is verified by name at the event. Donation acknowledgement letters suitable for tax records are emailed automatically and may also be downloaded from your dashboard.

6.3 Refund and cancellation policy — event tickets

  • Tickets are refundable in full if you cancel at least seven (7) days before the event start date.
  • Cancellations made between 7 days and 48 hours before the event are 50% refundable.
  • Cancellations within 48 hours of the event, or no-shows, are non-refundable, except where the Lodge cancels the event.
  • If the Lodge cancels or substantially reschedules an event, you will receive a full refund automatically to the original payment method, or you may elect to receive credit toward a future event.
  • Refund requests should be sent to info@elks2883.com with the event name, ticket holder, and confirmation number. Refunds are processed within 5–10 business days of approval.

6.4 Refund policy — donations

Donations are non-refundable except in the case of clear error (duplicate charge, mistaken amount). Refund requests for donation errors must be submitted within 30 days of the transaction.

6.5 Annual membership dues

Annual dues are an obligation of membership. The dues amount is set each fiscal year by Lodge bylaws and displayed in your dashboard. Total annual dues are the sum of three components: the Local Lodge portion, the State Lodge per-capita assessment, and the Grand Lodge per-capita assessment.

  • Fiscal year: April 1 through March 31.
  • Renewals (existing members): the full annual amount is owed every fiscal year, regardless of when payment is made. Late payment does not reduce the amount due. Members may pay their next year’s dues on or after April 1.
  • New members: dues for the partial fiscal year of joining are prorated based on the number of months remaining (with all three components prorated proportionally). New members joining in February or March may be billed for the prorated current year plus the full upcoming year as a single combined invoice.
  • Refunds: annual dues are non-refundable once paid, except where required by Lodge bylaws (e.g., death of a member during the membership year).
  • Suspension for non-payment: members whose dues remain unpaid beyond the period set by Lodge bylaws may have their membership suspended in accordance with BPOE rules.

6.6 Pricing and currency

All prices are stated in U.S. dollars (USD). The Lodge reserves the right to update pricing for future events, donations, and dues; pricing in effect at the time you complete a transaction is the price you pay.

6.7 Chargebacks

If you have a question or concern about a charge, please contact us before initiating a chargeback with your card issuer. Most issues can be resolved more quickly directly.

7. Photography and Member Likeness

The Lodge may capture photographs and video at Lodge events and publish them on this website, social media, or in newsletters. By attending Lodge events you grant the Lodge a non-exclusive, royalty-free license to use your likeness in such materials for Lodge purposes. If you wish to be excluded, please notify the Lodge Secretary in writing before the event.

Members may not photograph, record, or publish images of other members or Lodge property in a manner that could embarrass, defame, or harm any individual or the Lodge’s reputation.

8. Acceptable Use

You agree not to use this site or member portal to:

  • Violate any applicable federal, state, or local law or regulation.
  • Impersonate any person or entity or misrepresent your affiliation with the Lodge.
  • Attempt to gain unauthorized access to any Lodge system, account, or data.
  • Introduce viruses, malware, or other harmful code.
  • Scrape, mine, or systematically extract data from the site without written consent.
  • Post or transmit content that is defamatory, obscene, discriminatory, or otherwise objectionable.

9. Intellectual Property

All content on this website — including text, images, logos, and software — is owned by or licensed to the Lodge and is protected by applicable copyright and trademark law. You may not reproduce, distribute, or create derivative works without prior written permission, except for personal, non-commercial use.

The Elks name, emblem, and related trademarks are the property of the Benevolent and Protective Order of Elks of the USA.

10. Third-Party Services

We use the following third-party service providers; each has its own terms and privacy policy that govern your use of their services:

  • Supabase, Inc. — database, authentication, file storage.
  • Vercel, Inc. — application hosting.
  • Intuit, Inc. (QuickBooks Online) — accounting integration.

11. Disclaimer of Warranties

This website and member portal are provided on an “as is” and “as available” basis without warranties of any kind, express or implied. The Lodge does not warrant that the site will be uninterrupted, error-free, or free of viruses.

12. Limitation of Liability

To the fullest extent permitted by Tennessee law, the Lodge, its officers, trustees, and volunteers shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of or inability to use the site or member portal.

13. Governing Law

These Terms are governed by the laws of the State of Tennessee, without regard to conflict-of-law principles. Any disputes shall be resolved in the courts of Lewis County, Tennessee.

14. Changes to These Terms

We may revise these Terms at any time. We will post the revised Terms with an updated effective date. Continued use of the site after changes take effect constitutes your acceptance of the revised Terms.
